Return Policy

Free 90-Day Return & Replacement Policy

At Thousand Oaks Barrel Co., we take pride in the quality and craftsmanship of our American white oak barrels. We want every customer to be satisfied with their purchase and confident in the products they receive.

We offer a 90-Day Unconditional Return Policy on unused, non-personalized barrels, along with a 90-Day Defective Barrel Replacement Guarantee that also applies to personalized barrels.

Because our barrels are made from natural wood and designed for aging spirits, certain conditions apply to returns and replacements. Please review the following policy before returning a product or submitting a replacement request.

1. 90-Day Unconditional Returns – Unused Barrels

We understand that sometimes a purchase may not be exactly what you expected. That's why we offer a 90-day unconditional return policy on unused, non-personalized oak barrels.

If you are not completely satisfied with your purchase, you may request a return within 90 days of the original delivery date.

Eligible reasons for returning an unused barrel include:

  • Ordering the wrong barrel size.
  • Changing your mind about your purchase.
  • Purchasing a barrel that is no longer needed.
  • Deciding that the product is not suitable for your intended use.
  • Any other reason, provided the barrel remains unused and non-personalized.

To qualify for an unconditional return, the barrel must be unused and free from damage caused by handling, modification, or improper storage.

Important: Personalized, engraved, or custom-made barrels are excluded from unconditional returns. They are eligible for replacement only when a qualifying defect is confirmed.

2. 90-Day Replacement Guarantee for Defective Barrels

We stand behind the quality of our oak barrels.

If your barrel has a manufacturing defect that prevents it from functioning properly, we will replace it within 90 days of the original delivery date, subject to verification of the defect.

This guarantee applies to both personalized and non-personalized barrels.

One of the most common concerns with new wooden barrels is leakage. Because oak is a natural material, new barrels must be properly cured before being filled with spirits.

It is normal for a new barrel to leak initially as the wooden staves absorb water and expand to form a watertight seal.

A barrel is not necessarily defective simply because it leaks during its initial preparation.

However, if your barrel continues to leak after following our recommended curing and troubleshooting procedures, and the problem is determined to be a manufacturing defect, we will replace it.

Approved defective-barrel claims are eligible for replacement rather than a refund under this guarantee.

3. Personalized and Custom-Engraved Barrels

Personalized barrels are made specifically for each customer and cannot be resold once customized.

For this reason, personalized, engraved, and custom-designed barrels are not eligible for unconditional returns, refunds, or exchanges due to a change of mind.

However, personalized barrels are fully covered by our 90-Day Defective Barrel Replacement Guarantee.

A personalized barrel may qualify for replacement if:

  • It has a verified manufacturing defect.
  • It cannot be made watertight after proper curing and troubleshooting.
  • It arrives with damage or a production error attributable to Thousand Oaks Barrel Co.
  • The defect is reported within 90 days of delivery.

If an approved replacement involves a personalized barrel, we will reproduce the original personalization as closely as possible.

Customers are responsible for reviewing all names, dates, spelling, and other personalization information before submitting their orders. Errors in information provided by the customer are not considered manufacturing defects.

4. Used Barrels Are Not Eligible for Returns

Our oak barrels are designed to age whiskey, bourbon, rum, tequila, brandy, wine, and other suitable beverages.

Once a barrel has been filled with alcoholic beverages, it is considered used.

Used barrels are not eligible for unconditional returns, refunds, or exchanges.

Customers should inspect and prepare their barrels before adding spirits.

There is one important exception to the definition of use:

Filling a new barrel with clean water solely to complete the required curing and leak-testing process does not constitute use.

This allows customers to properly test their barrels and identify potential manufacturing defects before introducing alcoholic beverages.

Damage or problems caused by improper use, storage, or maintenance are not covered by our defective-barrel replacement guarantee.

5. Understanding Normal Barrel Leakage

Unlike glass, metal, or plastic containers, wooden barrels are constructed from individual oak staves that naturally expand and contract with changes in moisture.

When a new barrel is dry, small gaps may exist between the staves or around the barrel's fittings.

During the curing process, water is absorbed into the wood, causing the staves to expand and tighten the barrel's seal.

Temporary leakage during this process is normal and does not automatically mean that the barrel is defective.

Before requesting a replacement for a leaking barrel, customers should:

  1. Follow the barrel preparation and curing instructions supplied with their purchase.
  2. Allow sufficient time for the wooden staves to absorb water and expand.
  3. Check that the bung and spigot are properly installed.
  4. Follow any additional troubleshooting instructions provided by our customer service team.
  5. Contact Thousand Oaks Barrel Co. if the barrel continues to leak after completing these steps.

If the barrel cannot be made watertight through proper preparation and reasonable troubleshooting, we will review it for replacement under our 90-day guarantee.

6. What Is Not Covered

The following are excluded from our return and replacement coverage, except where otherwise required by law:

  • Unconditional returns of personalized, engraved, or custom-made barrels.
  • Returns of barrels that have been filled with spirits or otherwise used.
  • Damage resulting from improper barrel curing or preparation.
  • Damage caused by misuse, dropping, impact, or unauthorized modification.
  • Problems caused by allowing a barrel to dry out or by improper storage.
  • Normal variations in wood grain, color, texture, and appearance.
  • Temporary leakage that resolves through proper curing.
  • Changes in the taste, aroma, or color of beverages aged in the barrel.
  • Requests submitted after the applicable 90-day period.

Because each barrel is made from natural American white oak, slight variations in appearance and performance are expected and do not necessarily indicate a defect.

7. How to Request a Return

If you wish to return an unused, non-personalized barrel, please contact Thousand Oaks Barrel Co. within 90 days of delivery.

When contacting us, please provide your order number, the product you wish to return, and your contact information.

Our customer service team will provide return instructions.

Please do not ship a product back without first contacting us for return authorization.

Returned products may be inspected to confirm that they meet the eligibility requirements of this policy.

8. How to Request a Defective Barrel Replacement

If you believe your barrel has a manufacturing defect, please contact us within 90 days of delivery.

To help us evaluate your claim, we may request:

  • Your order number and purchase information.
  • The size and type of barrel.
  • A description of the suspected defect or leakage.
  • Details about the curing and troubleshooting steps you have completed.
  • Photographs or a short video showing the problem.

Our customer service team will review the information and may recommend additional troubleshooting before approving a replacement.

If the barrel is confirmed to be defective and cannot be made watertight or otherwise function as intended, we will arrange for an appropriate replacement.

Approved replacements will generally be the same model, size, and personalization as the original purchase, subject to availability.

Please do not discard or return a defective barrel unless instructed to do so.

9. The 90-Day Coverage Period

All return requests and defective-barrel replacement claims must be submitted within 90 calendar days of the original delivery date.

We encourage customers to inspect their barrels promptly after delivery and complete the initial curing process before filling them with spirits.

The 90-day period begins on the date the original order is delivered. Troubleshooting or customer service correspondence does not automatically extend the coverage period.

10. Our Commitment to Customer Satisfaction

Our commitment is simple:
